AI automation
Automated reminders read your schedule, send each patient or client a text or WhatsApp message the day before, understand the reply and free up the slot when someone can't come. Your front desk only steps in when someone wants to reschedule or doesn't reply. The result is fewer empty slots and a front desk that stops spending the afternoon messaging people one by one.
In many practices and service businesses, someone opens tomorrow's schedule, copies each phone number and sends the same message, adjusting the name and time. Then they have to go back to every conversation to see who replied, update the calendar and call the people who stayed silent.
The problem shows up on busy days: reminders go out late or not at all. People forget, don't turn up, and the slot sits empty with no time to fill it. When someone cancels, the news often arrives too late to offer the slot to anyone else.
Example: a practice with 30 appointments a day. If the front desk spends about 2 minutes per person sending, checking and updating, that's 60 minutes a day. Over 22 working days, that's roughly 22 hours a month just on reminders, not counting calls to people who didn't reply.
Every day at a set time, the automation reads the next day's appointments from your booking system or an exported spreadsheet.
Each person gets a text or WhatsApp message with their name, provider, date, time, address and any prep instructions.
AI understands replies written any way ('confirmed', 'can't make it', 'can we do Thursday?') and sorts them into confirmed, cancelled or wants to reschedule.
Confirmations are marked in the calendar. Cancellations free the slot straight away, and it can be offered to your waitlist.
The front desk only gets people who asked for a specific new time and those who didn't reply by a cut-off, to call.

The source of tomorrow's appointments. Without an integration, a daily export works.
Runs the workflow: reads the schedule, sends messages, receives replies and updates everything.
Interprets free-form replies and classifies what each person wants.
Use it to create your standard messages before automating.
You are a patient communications specialist. Business: [name] | Type: [dental practice, clinic, salon etc.] Address: [address] | Tone: [warm / concise] Appointments that need prep: [list with the prep for each] Write text messages of up to 4 lines each: 1) Reminder for tomorrow's appointment, asking for a simple reply. 2) Version for appointments that need prep, including the prep. 3) Reply to someone who confirms. 4) Reply to someone who cancels, offering to rebook. 5) Nudge for anyone who hasn't replied by [time]. Use [NAME], [DATE] and [TIME] as fields. Don't use real client details.
It depends on your market. In the US and Canada, text messages are the norm for reminders. In the UK and Australia, text is common and WhatsApp is growing. In many other countries WhatsApp dominates. The workflow is the same; only the channel changes, and you can offer both. What matters is using an official provider so messages arrive reliably.
In most cases, yes. If your system has an integration or an API, the automation reads the schedule directly. If not, a daily export does the job, and the calendar can be updated by the front desk from the list the automation provides. We check the best route for your system in the free diagnostic.
That reply goes to the front desk's list. The AI only classifies what it's confident about (confirmed, cancelled, wants another day) and sets the rest aside for a person. Over time, the classification improves with real replies from your clients. Nothing gets lost: every reply has somewhere to go.
Reminders should carry only what's needed: name, date, time and place. Clinical details, diagnoses or results never go in a reminder. With official providers and proper agreements, and following the rules that apply to you (such as HIPAA in the US or UK GDPR), patient data stays protected.
A reminder workflow is usually live within a few weeks, depending on how the schedule is accessed and on template approval if you use WhatsApp. The first month is for tuning send times and wording. It's one of the first projects we recommend for practices, because results show up quickly in the calendar.
