AI automation
Automated follow-up gets back in touch with people who asked for information, a quote or a viewing and didn't decide, at the right time and with a message that makes sense for each person. AI personalizes the text based on what the lead asked, and anyone who replies goes back into conversation with your salesperson. Your team stops relying on memory to follow up.
In many businesses, a lead gets a first reply and then nobody gets back to them. The salesperson means to follow up, but the day fills with new enquiries, and 'let me think about it' turns into silence.
When follow-up does happen, it's often generic: the same message to everyone, at the wrong time. Someone who asked for a quote on a specific service gets a 'just checking in' that doesn't help them decide.
Example: a business that gets 100 leads a month and closes 10. If another 20 were interested but nobody followed up, just a few of them coming back makes a difference to the month. Automated follow-up makes sure every lead at least gets the right next message.
Every lead (web form, chat, social, portal, phone) is recorded with what they asked and where they stopped.
You decide when to follow up: for example 1 day, 3 days and 10 days later, depending on the stage.
AI writes each follow-up based on what the person asked, bringing something useful instead of just asking for a reply.
If the lead replies, the conversation goes to the right salesperson with the history. If not, the schedule continues.
After the last message, the lead is marked as cold, and you can see where the pipeline is losing people.

You are a consultative sales specialist. Business: [what you sell] | Typical deal size: [approximate value] The lead asked about: [product or service] Common questions or objections: [price, timing, trust etc.] Tone: [friendly / professional] Write 3 short messages (email or text, up to 4 lines each): 1) 1 day later: follow up and answer a common question. 2) 3 days later: share an example or useful information for deciding. 3) 10 days later: a polite close that leaves the door open. No pressure and no invented deadlines or promotions.
It does when it's generic, too frequent or sent to people who never asked to be contacted. Good follow-up only goes to people who showed interest, adds something useful each time and respects their pace. With AI personalizing the message from what the lead asked, it reads as a continuation of the conversation. Follow the consent rules for email and text marketing where you operate.
It helps, but it isn't required to start. A well-organized spreadsheet with leads, stages and dates is enough for a follow-up schedule. As volume grows, a CRM makes it much easier, and the automation connects to it. In the diagnostic, we look at what fits the size of your pipeline.
It depends on your sales cycle. For quick purchases, two or three follow-ups within a week are usually enough. For bigger decisions, like property or higher-value services, the schedule can be longer and more spaced out. Every message should have a reason, and there should be a polite close at the end.
In follow-up, AI writes the messages and can answer simple questions. When a lead shows real interest, the conversation goes to the salesperson with the full history. Negotiation, proposals and closing stay human.
A simple follow-up schedule usually runs within a few weeks, depending on where your leads are recorded and on template approval if you use WhatsApp. The first month is for tuning intervals and wording based on who replies.
